Administrative Assistant - Job Responsibilities:

• Greet clients and visitors, ensuring a warm and welcoming environment at the front desk.
• Manage data entry, accurately inputting client information and policy details into our systems.
• Assist clients with inquiries, appointments, and basic information about policies.
• Organize and maintain physical and electronic files, ensuring easy retrieval and confidentiality.
• Handle incoming and outgoing communications, including mail, emails, and phone calls.
• Coordinate meetings and prepare necessary materials, taking minutes as required.
• Support administrative tasks, including photocopying, scanning, and document preparation.
• Monitor office supplies and maintain an organized inventory for seamless operations.
• Assist in special projects and contribute to process improvement initiatives.
• Contribute to the overall efficiency and professionalism of our office environment.
Requirements:

o High school diploma or equivalent; additional administrative training is a plus.
o Strong communication skills, both written and verbal.
o Proficiency in using office software and equipment, including Microsoft Office.
o Excellent organizational and time-management abilities.
o Customer-oriented mindset with a friendly and professional demeanor.
o Detail-oriented and capable of accurate data entry and documentation.
o Ability to multitask, handle multiple priorities, and work effectively under pressure.
o Prior experience in an administrative role is preferred.
o Familiarity with insurance terminology is a bonus.
o Enthusiasm, reliability, and a willingness to contribute positively to our team and client relationships.
