Job Overview
We are seeking an experienced Office Administrator to join our dynamic team. This role involves providing direct administrative and logistical support to the President and Vice President, managing day-to-day office functions, and assisting with the coordination of our import/export operations. The ideal candidate will be skilled and have two or more relevant administrative experience and must be familiar with Canadian import/export regulations and food safety standards.

Key Responsibilities
• Provide executive administrative support to the President and Vice President, including scheduling meetings, managing correspondence, and preparing reports.
• Maintain organized records, including regulatory documentation, certifications, and compliance files related to Canadian, China, and other Asian countries' trade and food safety policies.
• Manage the documentation required for Canadian import/export regulations, including customs and food safety certifications, and ensure all necessary compliance records are up to date.
• Conduct research on import/export regulations, customs procedures, and food safety standards in Canada, China, and other key Asian markets to keep the company informed and compliant with relevant policies.
• Liaise with regulatory bodies to ensure smooth inspections, timely compliance with government standards, and to manage the certification process.
• Act as a key point of contact for clients and suppliers, ensuring smooth coordination and communication regarding orders, shipments, and compliance updates.
• Draft correspondence and provide updates to clients regarding order progress and any changes in regulations or shipments.
• Coordinate with freight companies for the timely and accurate shipment of goods, ensuring all necessary shipping documentation is completed and compliant with regulations.
• Maintain accurate and timely records of shipping schedules, invoices, and customs documentation for all import/export activities.

Qualifications
• Completion of secondary school is required.
• Post-secondary education in Business Administration, Office Administration, or a related field is preferred but not mandatory.
• Minimum of 2 years of proven experience in office administration related positions in a trading, import/export, or food-related industry.
• Very good knowledge of Canadian import/export regulations, customs procedures, and food safety standards is essential to support the company's international trade operations. Knowledge of import/export regulations, customs procedures, and food safety policies in China and other key Asian markets is an advantage to facilitate smooth coordination across international trade operations.
• Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and general office software.
• Strong written and verbal communication skills in English are essential; proficiency in Mandarin is considered an asset.
• Excellent organizational skills with a strong attention to detail.
• Demonstrated ability to handle multiple tasks, prioritize effectively, and adapt to a dynamic work environment.
