Job Call: Advancement Coordinator
30 hours per week (1.0 FTE)
Primary Job Location: Vancouver, British Columbia
Reporting to: Head of Advancement (“HoA”)
Summary of Role
The Advancement Coordinator’s duties include achieving short- and long-term objectives related to advancement, grant writing, and fundraising in order to buttress 221A’s financial stability. The Advancement Coordinator will work closely with the Head of Advancement to ensure compliance with reporting and regulatory requirements, and undertake additional research as needed to meet departmental and organizational goals.
*Candidate Qualifications
- Experience: 2+ years of related work experience in nonprofit arts/cultural administration or equivalent experience in the government/public administration, or broader non-profit or arts sector. 1+ years of (part or full time) grant writing experience is an asset.
- Education: Degree or graduate degree in writing is considered an asset.
- Abilities/Skills
Talent and ability, as demonstrated by a portfolio of work.
Detail-oriented, with document management and organizational skills.
Excellent English written and verbal skills, including adaptability towards different stakeholder needs.
Knowledge of the artistic community is essential.
Ability to pivot between a variety of narrative voices is essential.
Diplomacy and a sense of balance in complex interpersonal and organizational scenarios.
Discretion with confidential information.
An understanding of reporting as it affects non-profit/charitable organizations.
Ability to identify fundraising issues and opportunities and provide early advice.
Experience with writing grants for visual arts projects, infrastructural funding and housing projects is considered an asset.
Familiarity and/or experience with the needs of visual arts communities is considered an asset.
Experience with arts research-and-writing is essential.
Familiarity with anti-racist discourse is essential.
Experience working in a multicultural environment is considered essential.
Database familiarity is considered an asset.
A thorough understanding of the cultural sector is considered an asset.
Second language fluency, including ASL, is considered an asset.
*Working Conditions
The Advancement Coordinator needs to be available for meetings & co-working during regular working hours and may require in-person hours on an as-needed basis.
They will be exposed to noise and regular flow of people in the office environment
They must have the capacity for extended periods of concentration with computer and mobile phone technology
In the normal course of work, there may be occasional exposure to particles and particulates produced by art-making. 221A strongly adheres to WorkSafeBC standards and will provide PPE where appropriate. However, due to the above considerations, we cannot promise a scent or noise reduced space.
Computer and mobile phone technologies will either be provided, or payment will be made in-lieu by 221A.
PRIMARY DUTIES AND RESPONSIBILITIES
* Advancement & Fundraising (70%)
Grant-writing, copywriting, and editing – Develop narratives for funding proposals, case(s) for support, and other literature. Write and file grant reports. Work collaboratively with programming and services teams. Liaise with partners and draft partnership agreements and letters.
Funding Development – Research and develop new public (government) and private (donorship, sponsorship, foundations) funding opportunities and partnerships.
Additional Research – Conduct research to establish factual content, develop conceptual frameworks, and to obtain other necessary information.
* General Duties (10%)
Public Interaction – Representing 221A at external fundraising events, meetings, and engagements on behalf of the organization and reporting on these representations.
Planning – Providing input to the HoA on advancement, development, and fundraising components of the Annual Plan, Strategic Plan, and Organizational Policies.
* Administrative (20%)
Budget Development – Develop project budgets for funding purposes; coordinate project budgets between multiple grants and funders.
Donor & Stakeholder data – Ensure that data about our donors and other stakeholders is accurate and up-to-date, using ZohoCRM and Google Drive. Issue tax receipts. Track donor metrics and report to HoA.
Grant administration – Update grant schedule, manage portals and profiles with funders, manage Advancement file database including research database, schedule meetings, attend grant information sessions.
Events – Assist with fundraising events such as parties, silent auctions, donor stewardship events, etc. as needed.
